BackOffice Manager
Job description, responsibilities and duties
- Contract management, evidence and providing of all legal documents related to the company
- Management of relationships with vendors, contractors, and service providers, ensuring quality and timely delivery of products and services
- Coordination of Shareholders and Board of Directors meetings – prepare agendas, take minutes, and ensure follow-up actions are completed
- Manage Car Fleet
- Coordinate alignment with health and safety policies, GDPR, ensure compliance with legal requirements, and promote a safe working environment
- Monitor office expenditures and handle all office contracts (rent, service, etc.), assist with tracking office-related expenses and staying within budget, providing support for financial reports related to office operations
- Prepare, edit, and proofread documents, reports, presentations, and other materials as requested by the GM
- Co-organize in-house events, team meetings, and company celebrations, including managing logistics, catering, and coordinating with attendees
- Oversee the daily operations of the office – lead and train administrative assistant and students in office management procedures and schedule on-the-job mentoring with multiple departments and handle the reception agenda – visitors, meeting rooms calendars, coordination the daily support, communication with employees, coordination processes related to office management as ordering office supplies, courier services management and company post, company insurance etc.
Requirements for the employee
Language skills
English B2 level or above, German is a plus
Other knowledge
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience in the position/sector
Proven experience as an Executive Assistant, Office Manager, or in a similar role.

Strong verbal and written communication abilities

Business Analyst
Job description, responsibilities and duties
- Data Collection and Analysis: Responsible for collecting and processing data from various sources on a regular and ad hoc basis. Creating complex financial analysis, reports and forecasts.
- Financial Modeling: Developing and evaluating financial models and forecasts with an emphasis on assessing efficiency and return on investment.
- Analyzing financial statements and tools: the main work involves analyzing financial statements such as income statement, balance sheet and cash flow.
- Cashflow and optimization: analysis of the company’s cashflow and suggestions for improving financial efficiency. Identification and implementation of optimization measures.
- Project/Product Evaluation: Evaluation of projects, products, companies and markets to identify trends, opportunities and risks.
- Recommendation development: Interpretation of analysis results and presentation to management, together with preparation of recommendations and proposals for strategic decisions.
- Budgets and Financial Plans:Â Budget monitoring, variance analysis and reporting.
- Working closely with the economic, commercial and IT departments, supporting other teams in financial analysis and decision making.
- Risk Management.
Requirements for the employee
Candidates with education suit the position
High school or university degree in economics or relevant experience in the field
